Ohayocon Marketing Department Leadership Role (description updated 11/19/2021)

Position Objective

The Marketing Department Head (DH) is a member of the Ohayocon Leadership Committee and provides daily leadership and oversight for the Marketing Department within the External Relations Division. The DH is primarily responsible for implementing strategy, programs, and initiatives to ensure the department meets customer engagement goals and production deadlines. Specifically, the DH will implement important strategic objectives related to marketing, creative production, lead generation, communication & accessible information design, customer engagement, and commission management. The DH will supervise department leaders, including editors and creative managers. The DH will create an environment supportive of professional development and inclusive decision making. The Marketing DH reports to the Director of External Relations.

The mission for all members of the Marketing Department is to present Ohayocon to the widest possible audience, to inspire customers to participate in Ohayocon, and to manage Ohayocon’s public image. Like all positions at Ohayocon, this position is unpaid volunteer work, and compensation will be according to the general staff benefits afforded to all staff members.

Essential Functions

  • Provide direction and leadership for all aspects of the Marketing Department. Develop and implement strategies to foster operational effectiveness and efficiency. Serve as a member of the senior leadership team within the External Relations Division, providing counsel on a broad range of strategic and tactical initiatives. Work closely with the Director of External Relations to implement the vision and direction for the department consistent with Ohayocon’s mission, operation effectiveness goals, and owner policies. (30%)
  • Supervise editors and creative leaders corresponding to each ongoing and project-based performance area. Perform supervisory duties such as onboarding, evaluating, and training staff on Ohayocon policies and procedures, department workflows and evaluation rubrics, technological systems, and all strategic initiatives related to the department’s operations. (30%)
  • Oversee the preparation and execution of annual publications, our web presence & social media, and other creative marketing projects. Lead team-driven innovation to develop unique marketing campaigns. Oversee the development of year-by-year theme packages. (15%)
  • For the annual convention, prepare and oversee the load-in, execution, and load-out of the Marketing Department, prepare and oversee the collection and organization of marketing materials gathered (such as marketing photos), maintain availability during operating hours, and remain on-call from the Thursday before through the Sunday of the convention weekend (including late Sunday night). (10%)

Nonessential Functions

  • Travel around Ohio (or telecommute) to attend regular leadership and occasional general staff meetings. (5%)
  • Benchmark marketing departments at similar organizations to develop a best-practices approach for Ohayocon to ensure desired goals are reached. (5%)
  • Perform other duties as assigned. (5%)

Supervisory Responsibility

Direct supervision of 3-5 editors & creative leaders. Indirect supervision of 4-8 staff members. We are rebuilding the department from the ground up; be prepared to facilitate several simultaneous hiring processes.

Contacts

Division: frequent contact with the Director of External Relations to strategize and formulate department objectives. Occasional contact with lateral peers to collaborate and meet division objectives. Constant contact with Marketing Department leaders and personnel.

Ohayocon: regular contact with the Ohayocon Leadership Committee (consisting of all owners, the convention director, division directors, and department heads) to consult and make decisions; moderate contact with Customer Service Department personnel to verify communication information; occasional contact with general staff members to solve problems requiring the immediate attention of the department head.

External: infrequent contact with members of mass media organizations to communicate about Ohayocon; infrequent contact with product and/or service vendors (such as printers) to negotiate and prepare production services.

Customers: occasional contact with customers to communicate and answer questions about Ohayocon.

Qualifications

Event experience: 5-7 years of progressively responsible work at anime, gaming, pop culture, or similar conventions or events; or 3-5 years of progressively responsible work including at least 3 years in leadership positions analogous to a manager or shift supervisor. Previous Ohayocon leadership experience is preferred.

Career experience: 0-3 years of marketing, communication, public relations, or related work experience preferred, but those without are still encouraged to apply. (This is more preferred than event experience.) Currently enrolled higher education upperclassmen are welcome to apply.

Education: high school diploma or equivalent required; valid driver license and personal vehicle required. Marketing, communication, or related degrees (associate and above) may substitute for up to three years of non-leadership experience.

Passage of a criminal background check is required for all volunteer staff positions at Ohayocon.

  • Ability to attend all meetings (physical or remote) and the annual convention.
  • Ability to edit WordPress-based websites.
  • Understanding of accessibility-in-communication principles.
  • Understanding of integrating business and creative products to form cohesive, relevant packages.
  • Understanding of marketing best practices.
  • Understanding of or ability to learn web design & development best practices.
  • Understanding of or ability to learn about professional, commercial printing.
  • Understanding of or ability to learn how to operate freight elevators.

Working Conditions

Most of the work can be done remotely, such as in a home office environment, with equipment and furniture supplied by the incumbent to support their ideal working conditions. Regularly communicate using computers and smart devices. Occasionally lift up to 50lbs, occasionally pull or push up to 150 lbs using a hand truck or cart. Occasionally climb stairs. Occasionally use a telecommunication device. Rarely travel up to 300 miles in one trip. During the annual convention, continuously work in space filled with large crowds of people; occasionally work both inside and outside in winter weather conditions.

Must remain on-call at the convention from Thursday afternoon through Sunday evening. Meetings are typically held on Wednesdays. Volunteers in this position must be in either the 15-hour General Staff or 25-hour General Staff benefits level.
