Photoshoot Submission Process

BEFORE registering, please read Cosplay Photoshoot Rules, Photography Policies, and the following. YOU are responsible for reading and understanding this information prior to submission. If you have questions regarding anything presented, please contact a Cosplay Coordinator.

The online Photoshoot Application will open September 1st – November 30th. All Photoshoot Captain Forms MUST be received no later than 11:59 PM EST on November 30th.

After the application closes, the cosplay department will go through a photoshoot selection process and build a final schedule for Cosplay Photoshoots that will be featured at Ohayocon 2020. In the event that multiple applications come in for the same theme/seires, the applicant deemed the most qualified based on their submissions will be accepted for Shoot Captain, with all other applicants placed on a back-up list.

Acceptance emails will be sent out around mid-December with where and when your shoot will take place. Links to the forms are available on the Ohayocon Website and Official Ohayocon Photoshoots group on Facebook.

If you are not willing to participate in the photoshoot selection process and accept that some or all of your photoshoots may not be selected as Shoot Captain for the final schedule of Cosplay Photoshoots, please do not apply.

Photoshoot Captain

Filling out the Photoshoot Application indicates that you are offering to take on the role of Shoot Captain for a photoshoot during the Ohayocon. As a Shoot Captain, you will organize cosplayers that show up in a number of photo ops and keeping things on track for the hour segment.

Shoot Captains are expected to show the utmost respect towards their participants and run their photoshoot professionally without bias towards photographers, participants and regardless of what participant’s choice of character for cosplay. People will be showing up to participate with other fans of the Theme/Series and should have just as much equal involvement as anyone else.

Where you have final say on the different photo op call outs that will take place, be open to request by participants and photographers; use your best judgement.

Anyone under the age of 16 submitting for Shoot Captain will be REQUIRED to have a Co-Captain to assist with the photoshoot. Otherwise, Co-Captains are not required, though if you have a Co-Captain, please inform the Cosplay Staff prior to the photoshoot.

Photoshoot Captains and Co-Captains should stop by the Cosplay Table when they arrive at-con to check-in and confirm shoot location and times.

Shoot Captains & Co-Captains must be present during their photoshoots. If anything comes up that will prevent you from attending the shoot, you must inform a Cosplay Coordinator as soon as possible.

Attendee Lead Event

These are events for attendees by attendees. There is no guarantee that a member of the convention staff will be present to run the photoshoot nor facilitate a photographer for these shoots. Ohayocon is providing space and allotted times for organization and will have these photoshoots on a public schedule for attendees to plan accordingly.

If you are volunteering as Shoot Captain and want others to show up for the shoot, it is recommended that Shoot Captains promote the photoshoot event as much as possible!
